Granting access privileges to your item

Before a content contributor can grant access privileges to an item, the page group administrator or page owner must first enable item level security. Item level security is a mechanism which allows controlled and granular access to specific items in a page.

As a content contributor, when you add a new item to a page, you can decide if you want to make the item accessible to certain users or groups. Users or groups who are not on the item's access control list are not able to view or edit the item.

Note: You must be logged on as an authorized user with the Own Item or higher privileges on the item. Only the item creator or owner can grant access privileges to a specific item.

To grant access privileges to an item:

  1. On a page, locate the item for which you want to grant access.

  2. Click beside the item.

  3. Click the Access tab.

  4. In the Item Level Security section, select Define Item Level Access Privileges.

  5. Click Apply to refresh your page.

    The Access tab now has two new sections: Grant Access and Change Access.

  6. In the Grant Access section, enter the name of the user or group to which you want to assign privileges. If you do not know the name of the user or group, click to display a list of existing users or click to display a list of existing groups from which to choose.

    Notes:

  7. Click Add To Access List.

  8. Click Apply to see the user or group reflected in the Change Access section.

  9. Beside each user name, choose which item level privileges you want to grant to each user or group by checking the appropriate check box(es):

  10. Repeat steps 6-9 for each user or group you want to add to the item access list.

  11. When you are done, click OK to save these settings and return to the page.
